1. Who we are

The Engine Room.expert, LLC ("The Engine Room," "we," "us," or "our") is a Florida limited liability company providing fractional revenue leadership, go-to-market advisory, and AI assessment services to B2B software companies.

This policy explains what information we collect, how we use it, and the choices you have. We have kept it as short as we can while still being accurate.

2. What this policy covers

This policy applies to:

  • Information collected through our website at theengineroom.expert (the "Site")
  • Information we collect and use when we contact business professionals about our services, including people we email who have not previously contacted us

It does not cover:

  • Information governed by a signed consulting agreement, statement of work, or non-disclosure agreement between us and a client. Those agreements control how we handle client and client-employee information, and they take precedence over this policy.
  • Third-party sites we link to, including LinkedIn. Their privacy practices are their own.

3. Information we collect

Information you give us. If you use the contact form or email us, we collect the information you choose to provide — typically your name, email address, company, and the substance of your message. Our contact form is operated by Formspree, which processes the submission and delivers it to our email inbox, hosted on Google Workspace. There is no requirement to give us anything beyond what the form asks for, and we do not request sensitive categories of personal information.

Information we obtain from third parties. We use B2B sales intelligence providers — currently Apollo.io — to identify companies and professionals who may benefit from our services. Through these providers we may obtain your name, job title, employer, business email address, business phone number, professional profile links, and company information such as size, industry, and location.

This is business contact information about you in your professional capacity. We do not obtain or seek personal or household information, and we do not purchase consumer data.

Information collected automatically on the Site. Our Site and its hosting provider automatically record basic technical data when you visit: IP address, browser type, device type, referring page, pages viewed, and date and time of access. This is standard server logging used for security and reliability.

Analytics and visitor identification. The Site uses the built-in analytics provided by Lovable, our website platform, which reports aggregate visitor and page metrics — how many people visited, which pages they viewed, and similar summary statistics.

Separately, we may use visitor identification tools that indicate which companies, and in some cases which individuals, have visited the Site. If you arrive at the Site through a link in an email we sent you, that visit may be associated with you. We use this to understand whether our outreach is relevant, not to track you across the wider internet. We do not use advertising networks or sell this data.

Email engagement. When we send you email, we may record whether the message was delivered, opened, and which links were clicked. See Section 5.

Cookies. The Site uses cookies necessary for it to function and to support the analytics and visitor identification described above. We do not use advertising or cross-site retargeting cookies. Most browsers let you block or delete cookies through their settings.

What we do not collect. We do not collect payment information through the Site, we do not run advertising networks, and we do not track you across unrelated third-party websites.

4. How we use information

We use the information described above to:

  • Respond to your inquiry and, where relevant, discuss a potential engagement
  • Contact business professionals about our services, and follow up where there is interest
  • Understand whether our outreach and website content are relevant and useful
  • Operate, secure, and improve the Site
  • Meet legal, tax, and professional obligations

We do not use your information for automated decision-making that produces legal or similarly significant effects.

5. Marketing emails and how we contact you

Why you may hear from us. If you receive an email from us and have not contacted us before, we identified you through a B2B sales intelligence provider as someone whose role suggests our services may be relevant. We send these emails in our legitimate business interest of offering professional services to other businesses, and we send them only to business addresses in a professional context.

What we track. Our email tools record delivery, opens, and link clicks. We use this to gauge interest and to stop contacting people who are clearly not interested. If you would rather we did not, tell us and we will disable tracking for your address.

How to stop hearing from us. Every marketing email includes an unsubscribe link. You can also simply reply and ask us to stop, or email tracey@theengineroom.expert. We honor opt-out requests promptly — in practice within a few days, and in all cases within the ten business days required by law.

When you opt out, we add your address to a suppression list so we do not contact you again. This means we retain the minimum information needed to keep honoring your request.

Our postal address. As required by the CAN-SPAM Act, our physical mailing address appears in every commercial email we send, and in Section 14 below.

6. How we share information

We do not sell your personal information. We have never done so and have no plans to.

We share information only in these circumstances:

  • Service providers. We use a small number of third-party vendors to run the Site and our business. Currently these are Lovable (website platform, hosting, and analytics), Formspree (contact form processing and delivery), Google Workspace (email), Apollo.io (contact data and email outreach), and Lightfield (customer relationship management). These providers process information on our behalf under their own privacy and security terms, and are not permitted to use it for their own purposes.
  • Professional advisors. Our accountants, attorneys, and insurers, where necessary and under a duty of confidentiality.
  • Legal requirements. Where we are required to disclose information by law, subpoena, or other valid legal process, or where disclosure is necessary to protect our rights, safety, or property.
  • Business transfer. If the business is sold, merged, or reorganized, information may transfer as part of that transaction. We would give notice on this page before your information became subject to a materially different policy.

7. How long we keep information

  • Contact form submissions and correspondence: for as long as needed to respond and maintain a record of our business relationship, then as required by applicable tax, legal, and professional obligations.
  • Prospect contact data and engagement history: for as long as the contact remains a plausible fit for our services, and reviewed periodically. We remove contacts who have asked us to stop, other than the minimum needed for suppression.
  • Suppression list entries: indefinitely, because that is what keeps us from contacting you again.
  • Server logs and analytics data: a shorter period, consistent with our platform providers' standard practice.

When information is no longer needed, we delete it or remove identifying details.

8. How we protect information

We use reasonable administrative and technical safeguards appropriate to a small advisory practice, including reputable vendors, access controls, and encryption in transit. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. Please do not send confidential business information through the contact form — wait until we have a confidentiality agreement in place.

9. Your choices and rights

You may:

  • Ask what we hold. Email us and we will tell you what information we have about you and, where relevant, where we obtained it.
  • Correct it. Tell us if something is wrong and we will fix it.
  • Ask us to delete it. We will delete what we are not required to keep for legal or professional reasons.
  • Stop hearing from us. Use the unsubscribe link in any email, or reply and ask.
  • Ask us to stop tracking your email engagement. We will disable open and click tracking for your address.

We will respond to requests within a reasonable period, generally within 30 days. We may need to verify your identity before acting on a request.

Depending on where you live, you may have additional rights under state or national privacy law. Contact us and we will work with you in good faith to honor them.

10. Children

The Site and our services are directed to business professionals and are not intended for anyone under 18. We do not knowingly collect information from children. If you believe a child has provided us information, contact us and we will delete it.

11. Where we operate

We operate from the United States, and information we collect is processed and stored in the United States. Our outreach is directed to business contacts in the United States. If you contact us from outside the U.S., you understand that your information will be transferred to and processed in the U.S., where privacy laws may differ from those in your country.

12. Do Not Track

Some browsers send a "Do Not Track" signal. There is no common industry standard for how to respond to these signals, so the Site does not respond to them. As noted above, we do not track visitors across unrelated third-party websites regardless.

13. Changes to this policy

We may update this policy as our practices or the law change. When we do, we will revise the "Last updated" date at the top. Material changes will be noted clearly on this page. Please check back occasionally.
